Detailed Instructions
Arrive by 11:45 AM.
-
Your shift starts at 11:45 AM.
Check in with the Second Onsite Volunteers
Second period ends at 11:50 AM. Use the 5 minutes before lunch period starts to gather information. Ask if there are any special situations or concerns for the day.
The Second shift ends at 12:30 PM. The Second shift will supervise students having lunch in the Fellowship Hall from 11:50 AM to 12:30 PM.
- Second-period classes end at 11:50 AM.
- The lunch period is 11:55 AM–12:25 PM.
- Third-period classes are 12:30 PM–1:45 PM.
Find out where the door keys are located.
-
Confirm you know where the door keys are before the Second Onsite Volunteers leave.
-
The door keys are generally kept on a hook on the corkboard at the Onsite Volunteer Station.
-
The Keyholder may opt to keep the keys with them if they are in the building to ensure they don’t forget to bring them home at the end of the day.
-
-
Third Onsite Volunteers are responsible for ensuring the transfer of the keys’ location to the Fourth Onsite Volunteers.
Onsite Volunteers should wear an Onsite Volunteer Lanyard Name Badge.
-
These are kept in a drawer in the Onsite Volunteer Station’s three-drawer rolling cart.
The Second shift needs to be free to begin supervising lunch in the Fellowship Hall at 11:50 AM.
Remind students that food may only be eaten in the Fellowship Hall or outside the building.
-
Encourage students to eat outside, weather permitting.
-
Students may not eat in the lounge, the hallways, the foyers, or the classrooms.
-
All food must be consumed in the Fellowship Hall or outside the building.
Assist with supervising room transitions as needed.
-
Lunch ends at 12:25 PM.
-
There is a 5-minute break before third-period classes start at 12:30 PM.
-
-
If any room lacks sufficient folding tables and chairs (or other supplies and equipment) to transition to the next class, report that via the online Onsite Volunteer Shift Log or email the PHS Leadership Team at PlanetHomeschoolMN@gmail.com so that the room’s setup guide may be updated.
-
Onsite Volunteers are present in a supervisory capacity only.
-
Students are the experts in classroom transitions as they are at PHS every week and are also those who are most aware of their classrooms’ needs, while most Onsite Volunteers are at PHS just a few times a semester.
Please allow our students the space to be the experts that they are — but also encourage them as needed.
Take a walk through PHS every 20 minutes or so.
Onsite Volunteers should alternate between resting and walking through Planet Homeschool, inside and outside the building.
Your walk should cover:
The hallways from the east stairs in the Fellowship Hall foyer to the south stairs in the south entryway.
-
Remind students if needed that we are not to use the east stairway, landing, or elevator — except to assist instructors in bringing supplies into the Fellowship Hall.
-
Our lease requires that we keep the Fellowship Hall door closed whenever it is being cooled or heated to avoid heat loss/gain to the hallways.
The lounge (room 120).
-
The door to the lounge must remain open at all times — unless it is being used as a classroom.
The PHS closet (room 122).
-
Students are permitted to make use of the lounge, PHS closet, and unscheduled ground-floor classrooms for socializing or quiet study. Doors must remain open unless an adult co-op member or instructor is also in the room.
The Resource Room (room 118).
-
Students may only use the Resource Room for quiet study or one-on-one tutoring when an adult co-op member or instructor is also in the room.
The grounds outside.
-
PHS may make use of the west lawn, south lawn, far lawn, east lawn, and parking lot.
- Any students on the front (or north) lawn should be reminded that our lease does not allow them to make use of that area and be asked to relocate to the east, south, or west lawns.
-
These spaces may be used for socializing, relaxing, or holding classes outside.
Remind students of our Community Expectations as needed.
-
If reminders are not sufficient, please make a detailed report of what happened on the online Onsite Volunteer Shift Log or email the PHS Leadership Team at PlanetHomeschoolMN@gmail.com.
-
If you don’t know the name of the student(s) involved, ask.
-
You can find the contact information of a student’s family in the Directory and call them for immediate assistance if needed.
-
Never post to any of our co-op‘s forums about behavior concerns.
Offer assistance if needed.
-
A collection of small bandages for minor cuts is kept in the three-drawer rolling cart, as are a pair of scissors, tape, pens, whiteboard markers, and other sundries.
-
While distressed students may just need a sympathetic ear, do not hesitate to call a student’s family to inform them that their student is in need of assistance.
-
All injuries, illnesses, and calls to families should be reported on the online Onsite Volunteer Shift Log.
Greet any visitors.
-
Since you may not know who is and isn’t a visitor, just plan on greeting everyone.
-
Introduce yourself as the PHS Onsite Volunteer, ask for a return introduction, and offer your assistance if needed.
-
When you are the visitor, stop and introduce yourself to the PHS Onsite Volunteers.
Remind people to wear their masks properly.
-
If someone is wearing a mask improperly, ask them to adjust their mask.
-
You may just need to make a simple gesture to pull up the mask or pinch the nose bridge.
-
You may just need to tap one of the reminder signs.
-
You may need to say "pull your mask all the way up the bridge of your nose," "pinch your nose bridge," or "tighten up your straps."
-
Wait and watch to make sure that they do adjust their mask
While requesting proper masking in the larger world can lead to unpleasant interactions, everyone at PHS has made a commitment to follow our co-op’s COVID-19 Policies and to keep our community’s most vulnerable members safe, so these simple reminders should be more than enough.
-
If anyone shows up without a mask, ask them to put one on, hand them one from our stash of donated masks if needed, and then wait to watch them put it on to be sure they are complying with our co-op’s COVID-19 Policies.
Pass on information and keys to the Fourth Onsite Volunteers.
The Fourth shift arrives at 1:30 PM. Your shift ends at 1:45 PM
-
Ensure the Fourth Onsite Volunteers know where the door keys are located.
-
Let the Fourth Onsite Volunteers know when you leave.
-
If you end up having to stay later than 1:45 PM, please report that via the online Onsite Volunteer Shift Log or email the PHS Leadership Team at PlanetHomeschoolMN@gmail.com about the situation that caused the delay. Please do not post to any of our co-op’s forums.
