Arrive by 8:45 AM.

Metro Transit Route 25 southbound drops off students at the corner at approximately 8:45 AM. The northbound bus arrives at approximately 8:48 AM. The next buses arrive after first-period classes have started.

Unlock the following doors:

  1. Room 116 (southeast classroom)
  2. Room 115 (center east classroom)
  3. Room 118 (Resource Room)
  4. Room 119 (southwest classroom)
  5. Room 114 (northeast classroom)
  6. Room 120 (the lounge — center west classroom)
  7. Room 121 (northwest classroom)
  8. Room 122 (PHS Closet)— doublecheck the door handle is fully unlocked
  9. Utility Closet (north hallway between restrooms) (access to the scuff mark remover) — leave partially open as the door handle will not unlock
  10. Fellowship Hall Storage Room (access to folding tables and chairs) — leave partially open because the righthand door breaks easily
  11. If there is a cooking class scheduled, confirm the door to the kitchen is unlocked.

While our lease states that the table in room 118 may be used for quiet study or co-working as long as an adult co-op member or instructor is in the room, the table is currently unusable. However, our co-op has been using room 118 for the temporary storage of items left in the hallways or other classrooms. 

The Fellowship Hall doors do not lock but they should be kept closed as the Fellowship Hall has an independent heating and cooling system.

If this list is out of date, please request that it be revised.

Confirm that doors will not re-lock when closed!

The door handle for the PHS Closet (room 122) is a bit tricky to fully unlock. It will open on the first turn and unlock on the second.

The door to the Utility Closet cannot be fully unlocked, so leave it partially ajar and one of the Onsite Volunteers will tape down the latch (or use a flat magnet to hold the latch open).

The door to the Fellowship Hall Storage Room will often not fully unlock. Leave it partially ajar and one of the Onsite Volunteers will tape down the latch (or use a flat magnet to hold the latch open). Because these doors break easily, they should be left partially open and not forced closed until the very end of our co-op day.

Document Any Changes to Faith’s Setup.

If any rooms are set up differently than usual, take photos and/or notes and share them with the Fourth Onsite Volunteers via forum post, text message, email, etc.

  • You may post to our co-op’s Forum.

  • You may reply to the latest “Volunteer Team for Friday …” post to our co-op’s Forum.

  • You may text or email the Fourth Onsite Volunteers directly.

  • You may also upload photos to an Album but you will still need to post to the forum or text or email the Fourth Onsite Volunteers to let them know about the photos.

Prior to 2022–2023, this task was not necessary as Faith’s room arrangement preferences rarely changed. Starting in 2022–2023, room arrangements would change on a weekly basis. Part of what makes PHS a good tenant that Faith UMC values, supports, and wishes to keep around is our commitment to always returning the rooms to Faith's own preferences. We need to share information to do this successfully.

Check in with the First Onsite Volunteers.

  • The Keyholders’ sole responsibility is to lock and unlock doors.

  • Keyholders have no other responsibilities.

  • Keyholders are not responsible for supervising either setup or cleanup.

  • Keyholders are not responsible for doublechecking the Onsite Volunteer Checklists.

If Onsite Volunteers have questions about their responsibilities, Keyholders should refer them to their many checklist options.

Keys must be left with the First Onsite Volunteers.

Whose keys are left on site is determined on a semester-by-semester basis.

  1. If the Closing Keyholder has a child taking a first-period class, then it makes the most sense for the Closing Keyholder to drop off their keys when they arrive with their child(ren).

  2. If the Opening Keyholder has a child taking a fourth-period class, then it also works to have them pick up their keys when they pick up their child(ren).

  3. If neither is true, the Keyholders will need to work together to come up with a plan that will likely involve switching whose keys are onsite in the middle of the day.

  4. If a Keyholder is staying onsite, the Keyholder may keep their keys on their person (as long as there is an accessible set of keys in the building at all times).

The keys are generally kept on a hook on the corkboard at the Onsite Volunteer Station.

You do not need to wait until you are finished to complete the form but may report concerns as they arise.

Use this form to report:

  • Low supplies
  • Outdated information (signage, room layouts, checklists, binder information, etc.).
  • PHS equipment in need of repair or maintenance.
  • Any damage caused to church property.
  • Any injuries or illnesses.
  • Any behavior concerns.
  • Late arriving volunteers.
  • Any calls you placed to families.

Let the First Onsite Volunteers know when you leave.

The keyholder’s sole responsibility is to unlock the doors at 8:45 AM every Friday and may leave as soon as that task is complete provided that a First Onsite Volunteer has arrived.

No students may be at PHS (inside or outside) without an adult co-op member present, even if they are:

  • mature
  • responsible
  • independent
  • an older teen (or even a newly minted adult)
  • have the permission of their parents or guardians

If neither First Onsite Volunteer has arrived by 8:45 AM:

  1. You may deputize any adult co-op member present to serve as one of the two First Onsite Volunteers.

  2. Reach out to the scheduled First Onsite Volunteers to ask if they are okay. (They may simply be stuck in traffic, they may have forgotten, or they may be facing an emergency situation.)

    • The names, phone numbers, and email addresses of the week’s volunteer team are in our co-op’s Forum under the latest “Volunteer Team for Friday …” post to our co-op’s Forum.

  3. Report the absence or late arrival via the online Onsite Volunteer Shift Log or email the PHS Leadership Team at PlanetHomeschoolMN@gmail.com about the situation that caused the delay. Do not post directly to any of our co-op’s forums.
